When a client signs a proposal we manually create a folder in SharePoint, add them to Xero, send a welcome email, set up a Slack channel, schedule a kick-off in Calendly, and add them to our HubSpot pipeline. It takes about 90 minutes per client and we onboard ~6 per week.

Our office manager exports unpaid invoices from Xero each Monday, copies overdue ones into a spreadsheet, sends bespoke email/SMS reminders, logs replies, and flags clients to call. Takes half a day per week and we still write off ~£2k/month.

Once a candidate accepts an offer we collect right-to-work docs by email, chase references manually, create a Bullhorn record, draft a contract in Word, send via DocuSign, and notify payroll. 4-5 hours per placement across two coordinators.
